The Connecticut Center for Arts and Technology (ConnCAT) is a nonprofit organization based in the Newhallville section of New Haven.  Our mission is to inspire, motivate, and prepare youth and adults for educational and career advancement. 


The job of Administrative Assistant was established for the purpose of executing the administrative workflow regarding the day to day operation of ConnCAT.  Under the direct supervision of the administrative services manager, this position provides administrative support for the organization. In addition to typing, filing and scheduling, performs duties such as accounting and student record keeping, coordination of meetings and tours, obtaining supplies, coordinating direct mailings, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload.

  • General office support including: data entry, filing, faxing, copying, printing, mailing
  • Complete projects as assigned by Admin. Services Manager and senior staff
  • Direct correspondence, draft letters and documents, initiate communications
  • Maintain internal schedule for building use during normal business hours
  • Perform front desk coverage by greeting guests, answering telephone, and directing calls as appropriate
  • Performs impromptu and scheduled tours of the facility
  • Establishes, develops, maintains and updates filing system for the organization and the department.
  • Retrieves information from files when needed for various audits
  • Assist in the preparation of numerous annual reports



  • Support timely processing of online and paper applications for all ConnCAT programs
  • Support accurate processing and filing of student, participant, and applicant files
  • Support execution of the administrative details of programs special events
  • Process, maintain, and keep confidential customer, applicant, and student files
  • Assists with info session for prospective students
  • Other duties on an as required basis


There are no supervisory responsibilities for this position


This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.



  • 2-4 years of relevant experience
  • Strong knowledge of Microsoft Office package including Word, Excel, and PowerPoint
  • Excellent verbal and written communication skills.
  • Must have strong organizational and interpersonal skills
  • Desire and ability to work in a very fast-paced environment with ability to work extended hours as required
  • Must be able to multi-task and handle multiple projects under tight deadlines
  • Strong sense of accountability and responsibility
  • Ability to work with diverse populations
  • Outstanding organizational abilities
  • Must be able to work independently as well as within a team
  • Excellent interpersonal and public speaking skills



  • High school diploma or GED
  • Associates Degree preferred
